An investigation into information management needs of the Bank of Tanzania.
(University of Dar es Salaam, 2005) Haule, Lucius Lothar
The study investigated information needs of the Bank of Tanzania in relation to records management and problems associated with record management. A survey method was used to collect data for this study, using a standardized structured questionnaire with both open and closed-ended questions supplemented by face-to-face interviews and observations. Findings of this survey revealed that management of records at the BOT is inefficient and retrieval is very slow and time consuming. Most records at the BOT are paper based and are handled manually. They also accumulate fast, thus creating space shortages and resulting in delays or even total failure to retrieve needed documents. Findings also revealed the lack of a coherent policy to guide systematic disposition and retention of records and non-integration of ICT in records management also creates problems and results in poor records management. These factors were attributed to low level of awareness on the critical role of information as well as low level of awareness on the benefit potentials of ICT as a tool in records management. Lack of expertise in IT use and records management is also an important factor. The study recommends that ICT should be used and applied to improve records management at BoT and that the BoT should invest in ICT hardware and software applications for its branches including training of staff in records management. Last but not least BoT should create a policy on ICT, and a policy to guide disposition and retention of records.
